Privacy Policy

This policy applies to Apex National Spell Bee and this website. The organisation responsible for the personal data described here (the data fiduciary) is APEX NATIONAL SPELL BEE, a Micro Enterprise registered under the MSME Udyam scheme with Udyam Registration Number UDYAM-TS-20-0132994 for Educational Support Services (NIC 85500), operating since 01/04/2015.

The table below is generated from the application's own data inventory, so it reflects what the system actually stores.

• Card numbers, CVV, UPI PINs or any payment instrument details — these are entered on Razorpay's own checkout and never reach our servers
• Aadhaar, PAN or other government identifiers
• Biometric data
• Precise location data
• Advertising or cross-site tracking identifiers

• You give it to us — through the registration form, the school registration form, the contact form, or the student portal.
• Your school gives it to us — a school coordinator may upload a roster of students on the school's behalf. In that case the school is responsible for having the appropriate parental consent before sending us a child's details, and for the accuracy of what it uploads.
• The system generates it — Registration IDs, hall ticket numbers, certificate serial numbers and results are created by us as part of running the competition.

Registration requires an explicit parental/guardian consent confirmation before the form can be submitted. We record that the consent was given, when, and which version of this policy was in force at the time.

Consent can be withdrawn at any time by writing to apexspellbee@gmail.com. Withdrawing consent does not undo processing already carried out lawfully, and it may mean the student can no longer take part in the competition or receive a certificate. Where we are required to keep certain records — for example proof of a payment — we will keep only those.

A student, or a parent/guardian acting for them, may ask us to:

• Confirm what personal data we hold about the student and get a copy of it
• Correct anything that is wrong or out of date
• Delete data we no longer need for the competition
• Withdraw consent given at registration

• Competition records (registrations, hall tickets, results, certificates) — kept for as long as the organisation needs to verify a past participant's achievement, because certificates are issued on their basis.
• Payment records — kept as long as required for financial and tax purposes.
• Enquiries and feedback — kept while we deal with them and for a reasonable period afterwards.
• Rate-limiting records — hold only a derived key and a counter, and expire automatically.

• All traffic is served over HTTPS with HSTS.
• Every database table has row-level security enabled. A signed-in student can read only their own records.
• Administrative access is restricted to an explicit allow-list of accounts, and every administrative action re-checks that authorisation on the server.
• Privileged database credentials are held only on the server and are never sent to the browser.
• Sign-in, registration and payment endpoints are rate-limited to resist abuse.
• Payment details are entered on Razorpay's own checkout and never reach our servers; payment confirmations are cryptographically verified.

No system is perfectly secure. If you believe you have found a vulnerability, please tell us at apexspellbee@gmail.com before disclosing it publicly.
